Life Mentor Business Privacy Statement

This Life Mentor Business Privacy Statement was updated on July 17, 2023.

Life Mentor receives and has access to personal data of specific users to whom customers grant access ("Users") in the course of providing Life Mentor Business ("LMB") services and related services to its corporate, non-profit organization, and governmental customers ("Customers"). Customers are the data controllers for the purposes of this privacy statement, whereas Life Mentor is the data processor. Each of Life Mentor's customers and Life Mentor have written agreements that specify how Life Mentor will process User data and the security precautions that will be taken to safeguard it.

As a data processor, Life Mentor will only access, store, and use each User's personal information for the sole purpose of delivering LMB services to its Customers. Life Mentor will also process the data in accordance with those Customers' requests.

Customers control which of their employees or other authorized personnel have access to the LMB services as data controllers. They accomplish this by appointing one or more LMB account administrators or group administrators ("Administrator") who act on the customer's behalf and have the power to manage individual User accounts, customize the customer account, access the LMB Insights tool and related reporting features, access the LMB Administrator tools, and add content from the customer to the customer account. Every applicable law and regulation governing the gathering of personal data about specific Users chosen by Customers to access the LMB services must be complied with, and it is the sole responsibility of Customers to establish policies for doing so. Individual Users should contact Customers (their employer) for assistance with any requests or questions relating to the processing of their personal information as Life Mentor has no direct relationship with them.

For the avoidance of doubt, the following are exempt from this privacy statement:

  1. any data processing done in order to market the LMB service to potential businesses and clients; and

  2. any additional services offered by Life Mentor.com that are not part of the LMB services and for which the Life Mentor Privacy Policy applies. To access Life Mentor's consumer marketplace educational content (the "Marketplace"), a User may already have a Life Mentor account. The Life Mentor Privacy Policy applies to data processed as a result of a User account's use of the Life Mentor Marketplace. .

Life Mentor will inform customers of any significant changes to the way in which it uses user data to provide its services to customers.


1. Data about Users that Life Mentor collects and stores

  1. When an Administrator grants a User access to the LMB services, the User may create a personal User account, and Life Mentor will gather information from either the User or the Administrator. The customer has the option to specify the kind of information needed to open an account, which may include:

    • first name, last name, and email address required

    • photo, areas of interest, job skills, goals, and role (optionally provided by User or Customer)

    • other personal information that the Customer permits

  2. Upon the creation of a User account, Life Mentor issues that account a special identification number.

  3. Other Users within the same LMB organization may be able to view user profile pages, but people outside the organization are not able to do so.

  4. A User may be given membership in a group by an administrator.

  5. To allow users to log into LMB User accounts without having to reveal hashed passwords to Life Mentor, customers can integrate LMB with a Single Sign On (SSO) identity provider. The SSO identity provider will authenticate users who log in by giving them their unique SSO credentials before granting or denying access to the Customer account. To identify the User as an authorized user of the Customer, SSO identity providers exchange with Life Mentor a special cookie ID and authentication "token" data.

  6. Customers can decide whether Administrators and Users are allowed to interact with others by messaging or chatting, posting questions or answers, posting questions or answers, or posting other content (including with instructors, teaching assistants, and other students). Depending on where it is posted, posted content may be publicly accessible or viewable by others, including Administrators, Users, instructors, and teaching assistants.

  7. Administrators may enable "Share to Slack" at the Customer's discretion. Users can post messages to the Customer's own instance of the Slack messaging service using this feature, either manually or automatically. The administrators of Customer's Slack instance must authorize Life Mentor to read the complete list of users, private channels, and public channels in order to enable this optional feature. There may be people on these lists who are not LMB Users and are users of the customer's Slack instance. User lists and channel information from Slack are momentarily cached before being automatically deleted from Life Mentor's systems. 

  8. As users use and interact with the LMB services, Life Mentor records information about their actions, including content viewed, searched for, or accessed (along with information pertaining to that content); interactions with teachers, teaching assistants, administrators, and other users; and answers, essays, and other submissions made by users to fulfill the requirements for educational content. Customers may request to receive this information via the Customer Account reporting tools, which are linked to each User's individual account ID.

  9. With the help of the LMB service, users can get in touch with the Life Mentor Support Team for support or to report a concern about potential abuse, problems with the LMB services, or other problems involving other users. The user's name, email address, location, operating system, IP address, activity on the Life Mentor platform, and communications with the Life Mentor help desk team may all be collected and stored by Life Mentor. In order to address any problem reported by a User or by another user, Life Mentor may ask Users for more details.

  10. Life Mentor automatically gathers and stores the following data when a User uses the LMB services: (a) technical data regarding the User's computer or wireless device, such as IP address, operating system type and version, unique device ID, browser, browser language, domain, and other operating systems or platform data. Server log files and tracking technologies, such as cookies and other tracking technologies (see below for more information), are used to collect this data. Cookies are small files that websites send to computers or wireless devices in order to uniquely identify a browser or mobile device or to store information in a browser setting.

  11. IP addresses collected from users' browsers or devices may be used to determine the users' general location.

  12. When a Customer uses a credit card to make a purchase, Life Mentor must gather specific information about the purchase (like the Customer's name and ZIP code) in order to complete the order. Customers must give specific payment and billing information, such as name, credit card details, billing address, and ZIP code, directly to Life Mentor's payment processing partners. In order to facilitate payments, Life Mentor may also receive restricted information from payment service providers, such as the fact that Customers have a new card and the last four digits of that card. Life Mentor does not gather or store sensitive cardholder data, such as complete credit card numbers or card authentication information, for security reasons.

2. Purpose of User Data Processing and Retention Period

Life Mentor processes the information collected about Users and Administrators for the purpose of providing the LMB services to its Customers, specifically:

  • providing, managing, and facilitating customers' and users' access to LMB services, as well as managing preferences for customers' or users' accounts

  • executing customer requests with regard to user personal data

  • contacting users, including through email, in order to:

    • Answering queries or issues raised by users

    • distributing notifications to users at the customer's request

    • Sending users administrative messages and information, such as notifications of instructor responses to user questions, enrollment and progress updates for courses and related materials, and confirmations of account creation

    • letting users know about the content that is available, new LMB service features, and personalized content recommendations, all of which let users opt out at any time

    • Updates and other pertinent messages are sent to user wireless devices via push notifications, which can be controlled from the mobile application's "options" or "settings" page.

  • facilitating dialogue between users and teachers or teaching assistants

  • LMB services are improved by incorporating feedback.

  • addressing user support issues or complaints

We might not be able to offer you some or all of the LMB Services if we are unable to gather and use your personal information.

Email Preferences

Individual users have the option to stop receiving non-transactional emails by (i) following the unsubscribe instructions in the email communication, or (ii) changing their email preferences in their user accounts. Additionally, a Customer may give Life Mentor instructions to set up email preferences for all of the Customer's Users.

Retention of Personal Data

Life Mentor will keep User data for as long as the Customer specifies and for no longer than is necessary to fulfill the processing requirements. Upon the Customer's request, Life Mentor will delete some or all of the personal information pertaining to Users. As stated below, Life Mentor may keep aggregated or anonymized data.

Use of aggregated or anonymized data

To enable Life Mentor to enhance its products and services and create new ones, user data is aggregated with that of other Life Mentor Marketplace users or made anonymous, including: 

  • reviewing and evaluating technical data related to wireless devices and user browsers

  • examining user behavior on LMB and the Life Mentor Marketplace (for instance, Life Mentor analyzes trends and user traffic and usage data to identify popular content)

  • assisting with the LMB services' technical operation, including troubleshooting and resolving issues, securing the LMB services, and preventing fraud and abuse

  • building an engine for personalized content recommendations

User information is aggregated and/or anonymized when used for the aforementioned purposes to ensure that no personal information about Users is handled. This anonymous data may be kept for as long as it is required to fulfill the aforementioned goals.

3. Cookies and other Tracking Technologies

Life Mentor uses automated data collection tools like cookies and scripts from web browsers, as do many other online platforms. When browsing the Internet, a computer or other device downloads a small text file called a cookie. Cookies are used to gather, store, and share small amounts of data about user behavior. In order to deliver and secure the LMB service, as well as to provide functionality like customizing a user's view or remembering a user's preferences, as well as to measure site, service, or feature usage, Life Mentor uses both session cookies and persistent cookies. Life Mentor may link the data gathered through these channels to each User's particular account ID.

Users can click the "Cookie settings" link in the site's footer to view a full list of cookies and their options.

User Preferences with respect to cookies and other tracking technologies

Users can change their cookie preferences by clicking the "Cookie settings" link in the footer of the LMB website, or they can configure their web browser to warn them when a new cookie is being placed, restrict the types of cookies that can be placed on their computer, or reject all cookies. Users may not be able to use all or some of the features of the LMB services (such as logging in) if a browser is configured to block cookies. It is possible that different browsers provide their own management tools for deleting HTML5 LSOs. 

You can choose to send a Do Not Track signal to the websites you visit using the majority of contemporary web browsers, letting them know you do not want to be tracked. However, there is no consensus on the best way for a website to react to this signal, so we do not do anything about it. We instead give you the choices outlined in this policy to control the collection and use of information about you, in addition to publicly accessible third-party tools.

4. Sharing User Information

Life Mentor shares user data with a number of third-party service providers in order to deliver the LMB services to its customers. According to their contracts, these third parties must only use User data as instructed by Life Mentor for the benefit of offering services to Life Mentor. While logged into LMB, administrators of current Customers can access our list of active sub-processors on the left sidebar of this page.

  • To help them respond to user questions and feedback, instructors who upload content to the Life Mentor platform and their teaching assistants may be given the names of enrolled Users. Instructors are not given User's email addresses.

  • Information might be shared with other service providers at the customer's request.

  • Life Mentor uses cloud hosting services and leases servers from data centers to deliver its services. These servers are where certain content and User information pertaining to LMB is stored.

  • The vendor of the help center platform hosts and saves all communications between Administrators or Users and the Life Mentor support team. According to their contract, the help center vendor must only store and process user-related data as instructed by Life Mentor in order to fulfill their obligations to Life Mentor. In order to support Users and Administrators, gather feedback, and display in-app messages for feature announcements or onboarding new users, Life Mentor also collaborates with a chat messaging vendor.

  • To be able to communicate with users via email and to administer their email preferences, Life Mentor shares User information with independent third-party businesses that provide email services.

  • Users with special access or platform roles should only share confidential or proprietary information in accordance with the policies of their organization because some features, such as chat rooms, message boards, news groups, or other open forums, are accessible to and visible to other participants.

Any additional data sharing involving users must have the customer's permission and follow their instructions. 

5. Processing of User Data outside of the EEA

Our servers and subprocessors are located in the United States. We transfer and process your data there in order to offer the Services to you. The following conditions must be met for Life Mentor to process personal data that comes from an EEA User or Administrator: (a) the non-EEA nation in question guarantees an adequate level of data protection; (b) the transfer is made in accordance with a Data Processing Agreement ("DPA") signed by Life Mentor and the Customer and subject to the standard contractual clauses that are intended to facilitate transfers of personal data from the EEA to non-EEA countries.

6. Jurisdiction-Specific Information

  • submit a request for access to or rectification of your personal data.

  • submit a complaint about a violation of the Australian Privacy Principles, and it will be looked into and addressed within 30 days.

7. General

Translation for Convenience Purposes Only. If Customer has received a translation of the Life Mentor Business Privacy Statement in a language other than English, it is only being made available for the customer's convenience. In the event of a discrepancy between the English version of this Privacy Statement and any translated versions, the English version shall govern. The LMB Privacy Statement is only available in English.
